What is Macros in Excel?

Whenever I’ve asked this question, I got vague interrogative answers – is it of any use to me? Isn’t it too complicated to learn? What is the use of Macros? And wait for the best one – What is that and where do you find them?

Well, today I am writing this blog just to clear some misconceptions related to Macros. Though it is classified under advanced Excel, it is not as complicated as it has been interpreted.

Macros is a tool in excel used to automate routine tasks. Doesn’t that sound simple enough? In simpler terms, it is a recorder that stores your activity and can be played whenever required.

In excel, we need to repeat many tasks for various computations. Inputting the same sequence every time becomes time-consuming and at times boring as some tasks demand hours of manipulations. This is where Macros role comes into the picture. You don’t need to spend hours doing the same activity next time. Once you are done, record your activity in Macros and your hours of calculations will be just a click away.

How does it work?

It is an automated arrangement that copies keystrokes and mouse actions. It stores the activity in a coded form and imitates the same action for repetitive tasks. You can run Macros repeatedly multiple times.

Where is it located in Excel?

View – Macros – Record Macro

In case, you are unable to get in under the View tab, check under the Developer tab.

Types of Macros?

Executive Macros – This type of Macros generates code that is merged in the program being compiled.

Declarative Macros – This type of Macros produces information used by the process while generating code.

Do I need to know coding to work in Macros?

No, Macros is just a tool in Microsoft Excel that doesn’t demand any coding knowledge.

Which Microsoft applications have Macros function?

Along with Excel, MS word also provides the ease of recording a series of commands to save time. Location in MS Word also remains same i.e. View – Macros – Record Macros

How to Record a Macro in Excel?

Follow these steps once you are set to do an activity on Excel:

  1. Go to Macros and record a Macro.
  2. Assign a unique name to your Macro which is easy to identify in the case of multiple Macros.
  3. Provide a key for the shortcut. Ensure to give a shortcut key that is not assigned to any other task.
  4. Provide a location for the Macros to store.
  5. The Description is optional; however, you can add the content of your choice.

The recording has started and thereafter each and every activity performed on that workbook will get recorded. You just need to perform the required activity and stop recording once you are done. To repeat the same activity, you merely need to click the shortcut key assigned in step 3 and its done.
